Description

The Fairfield Community Center Association https://fairfieldcommunitycenter.org/ has an immediate opening for a Program Manager. This 25 hours per week job will be based out of our Community Center in East Fairfield. The FCCA program manager will collaborate with our office administrator, board of directors, bookkeeper, volunteers and other part time staff. Primary duties will be overseeing the Food Shelf and Community Meal programs, writing grants, and fundraising. The ideal individual will be organized, self-directed, and enjoy working with the public and the many volunteers which keep our center running. Work will include planning and advertising programs and events, grant seeking, writing and reporting, program budget oversight, and fundraising for the Community Center. Program Manager Job Description:

This position involves:

● Coordination of volunteers for all FCCA programs-food shelf, seniors

● Bi-weekly meetings with the Office Administrator

● Shared oversight of the FCCA building with the Office Administrator

● Open communications with board members, bookkeeper and other staff

● Developing a yearly budget in coordination with the Office Administrator and the boardTreasurer

● Attending monthly FCCA board meetings

● Maintaining a calendar of events

● Creating and maintaining a GANTT Chart for programs and events

● Grant seeking/writing/tracking/reporting for FCCA in collaboration as necessary with the Town of Fairfield grant writer

● Collaboration with other agencies and organizations whose missions are in alignment with FCCA’s

Weekly Community Meals/Ready to Heat Meals-

● Organizing chefs

● Coordinating volunteers

● Purchasing ingredients/materials

● Overseeing staff of this meal when back to normal

Food Shelf-

Grant Writing-

● Seek out grants that match our current and future needs for the center

● Write and submit grants

● Write and submit reports

● Collaborate with Town of Fairfield Grant Writer

● Required number of grants completed per year

Fundraising-

● Create, organize and advertise events in collaboration with the Outreach Coordinator

● Organize, coordinate, and oversee the Jig in the Valley

 

Food Shelf Job Description

The Food Shelf administrative duties are meant to ensure that we can meet the needs of our Food Shelf guests, volunteers, and our Vermont Foodbank partnership.

Duties Include:

Coordinating volunteers

● Meet with interested volunteers to review our needs and requirements in order to match interests.

● Provide orientation for volunteers either in person or by pairing with another experienced volunteer.

● Create the monthly volunteer schedule.

● Sub/find subs when needed.

● Communicate necessary information to volunteers.

● Hold semi-annual meetings with volunteers to introduce new procedures, to get feedback, and to get FCAA board updates

● Provide volunteers with notices and promotions to distribute to our guests.

● Ensure that all necessary forms/reports are ready for our volunteers for Food Shelf Day.

Professional training

● Complete ServSafe Food Handler training. (self-guided)

Meal Connect (program of the VT Foodbank)

● Update and maintain reporting form for volunteer use for Meal Connect.

● Enter the Hannaford donations on the Meal Connect website.

● Contact Enosburg store manager on rare occasions that we will not be picking up. (such as Christmas Eve).

● Monthly Meal Connect report to the VT Foodbank

Healthy Roots

● Arrange for gleaned items from Healthy Roots.

Data collection and Reporting

● Enter weekly guest visit data on the computer for our records.

● Run report on guest visits for the current month for use by volunteers.

● Run end of month data reports on numbers of guests, participating towns, children, seniors.

● Report statistics to the FCAA board for use in grant applications or for promotional material.

● Quarterly Service Report to Foodbank.

Meetings and Events

● Attend quarterly meetings of Food Shelf Alliance (rotating between Food Shelf) and Hunger

Council (St. Albans)

● Participate in FCAA fundraisers.

Oversee the volunteer performing these functions:

● Completion of monthly food order including current USDA through Foodbank website and on the telephone (for produce and leftover USDA). Stay within the budget set by board.

● Printing of copies of completed order for delivery day.

● Proper shelving of all food particularly USDA foods

● Physical count of USDA inventory monthly and report.

Maintaining relationships and contact person for:

● Vt Foodbank Network Relations Manager

● Food Recalls (from Foodbank)

● Meal Connect (a Foodbank program)

● Vermont Fresh (a Foodbank program).

● Healthy Roots.

● Other Food Shelves.

Miscellaneous:

● Apply for grants/free items from Foodbank and Vermont Fresh (a Foodbank program).

● Be at the Center on Tuesday during Community Meals and Food Shelf hours.

● Once a month pick up product at Hannaford’s (Meal Connect)

● Coordinating Social Media posts with the Outreach Coordinator

● Thank donors with thank you cards.
