The Executive Assistant reports to the President and is responsible for the effective operational leadership of the Office of the President and for helping to coordinate and facilitate the work of the President’s Council and its members, including support for and communication with the Dean of Finance & Operations.

  • Ability to collaborate effectively with a variety of people (different roles, diverse backgrounds, wide array of needs) and personalities as well as possess discretion and flexibility. 

  • Strong technology orientation using MS Office, Google Suite, and capacity to learn and appreciate information systems that includes Blackbaud’s Raiser’s Edge. 


Specific duties include: 

  • Increasing the capacity of the President and Vice President by providing administrative support and by overseeing and/or facilitating assigned projects and events. Responsibilities include oversight of institutional initiatives, project management, and major events coordination in collaboration with the President, Vice President, Dean of Academics, and Dean of Finance & Operations.

  • Working closely with a range of individuals from across the College to coordinate projects and initiatives on behalf of the President, including the President’s Council: Dean of Academics, Dean of Advancement & Alumni Relations, Dean of Finance & Operations, Dean of Admission & Financial Aid, Dean of Student Life, and Dean of Professional Studies.

  • Anticipating the needs of the President and Vice President and effectively supporting all aspects of their work on behalf of Sterling College.

  • Serving as the primary point of contact for inquiries to the Office of the President and working to ensure that guests/appointments are tended to in a welcoming and timely manner.

  • Performing a wide range of administrative functions, including managing calendars; coordinating travel, organizing meetings/events; handling calls/inquiries; interfacing with donors, board members, faculty,staff, and students/families; drafting and editing correspondence and other written materials; and reconciling expenses and budgets.

  • Ensuring that all events on the Sterling College Calendar run smoothly and efficiently by making sure that all participants are aware of their roles and responsibilities and that the preparation, execution and break down for each event is properly staffed and coordinated.

  • Attending meetings and events with or on behalf of, the President and Vice President, as requested.

  • Handling sensitive and confidential information, prioritizing competing work and deadlines, and producing highly accurate work. The assistant must be incredibly nimble and able to successfully navigate and thrive in a fast-paced, small team environment. 

  • Managing the planning, logistics and implementation of events, including meetings and events that take place at the President’s on-campus residence, in coordination with the President’s spouse, the Director of Community Relations.

  • Managing the President and Vice President’s telephone and email correspondence.

  • Engaging in other College-related duties as requested by the President or Vice President.

  • Strategizing and executing all programs, events, and meetings involving the Board of Trustees, both on and off-campus, including report preparation in conjunction with the President, Vice President, and President’s Council.

  • Serving as clerk of the Board of Trustees, Board of Advisors, and Alumni Board in collaboration with the Dean of Advancement & Alumni Relations, building agendas, schedules, and taking minutes.

  • Managing communications to the College’s boards, including, but not limited to, meeting notices, electronic meeting materials, and general announcements.


Qualifications should include relevant administrative experience in the public or private sector, for-profit or not for profit, with demonstrated experience working in a fast-paced, deadline-oriented environment. An earned bachelor’s degree from an accredited liberal arts college is preferred, but not required. 


The position requires successful completion and acceptable results of a background check.
