The ability to multi-task, while maintaining complex schedules and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized.  It is the responsibility of this position to perform a variety of administrative and clerical tasks. Duties of the administrative assistant include providing support to all departments and staff, assisting in daily office needs and performing general administrative activities.  This position backs up and supports front desk reception: answering and directing incoming calls, welcoming and directing all visitors. This position interacts frequently with CSFP participants, donors, network partners, volunteers, and staff members in the daily operations of the Foodbank.  Ability to provide excellent customer service combined with accuracy, friendly demeanor, tact and diplomacy are required.

General Responsibilities:

  • Perform variety of administrative functions including filing, word processing, copying, scanning, data entry, preparation of mailings, and invoices.
  • Assist in the preparation of regularly scheduled reports.
  • Assist with training/event registration, planning, assisting with event communications, and more.
  • Assist in ordering supplies and clothing for all departments.
  • Create surveys, process responses, and present in a format that allows staff to analyze results.
  • Serve as part of the “front of house” team, backing up the reception position every day during the lunch hour and as needed to cover absences, vacations; and support hectic workflow.
  • Participate as a valued member of the Admin and Finance, Technology, and Human Resources team by attending team meetings and helping where needed, as assigned.
  • Help with preparing correspondence, arranging conference calls and meetings, as required.
  • Assist in planning, preparation, and coordination of presentations and related materials, ensuring that they are, succinct, appropriate for the audience, and clearly articulate the purpose of the meeting.
  • Work cooperatively and be able to communicatewith staff and volunteers to support the mission of the Foodbank to meet and sustain Foodbank goals.
  • Positively contribute to an organizational culture of safe and secure food handling, warehousing and distribution.

  • Some night and weekend work is required.

Other Functions:

  • Take on special projects as directed by supervisor.
  • Assist with events and sort-a-thons.
  • Assist with other projects and committees as time permits. Priorities and focus vary and change throughout the year.
  • Other tasks as assigned.

Education and/or Experience:

  • A minimum of an Associate’s Degree or 2-3 years administrative experience.
  • Emphasis on customer service work, preferably in a high volume contact position with community organizations and volunteers.

Other Skills and Abilities:

  • A sense of humor.
  • Good communication skills using a variety of resources (e-mail, social media, in-person, etc.)
  • Strong organizational skills with the ability to multi-task.
  • Dedication to completing tasks in a timely manner.
  • Attention to detail and problem solving skills.
  • The ability to lift a minimum of 25 lbs. is required.

Language Skills:

  • Proficient in oral and written skills.
  • A firm command of the English language.

Technical/Computer Skills:

  • Proficiency in the Microsoft © Office Suite (Excel, PowerPoint, Word and Outlook).
  • Working knowledge of office equipment, like printers and postage machines 

Certifications/Licenses/Registrations:

  • A valid Vermont Driver’s License.
  • 3-year motor vehicle report (MVR) showing a clean driving record.
