Summary of Position:  

The Intervale Center seeks a dynamic, mission-driven Administrative and Communications Assistant to join our team in Burlington, Vermont. For over 35 years the Intervale Center has led a community food revolution that sustains farms, land, and people. We have pioneered farm and food innovations in local food development, commercial composting, riparian restoration, farm business incubation, gleaning, and food hub development. 

The Administrative and Communications Assistant supports the Center’s staff to create a welcoming and highly productive organization and executes communication strategies to share the full story and impact of the Intervale Center programs, place, and enterprises. They implement website updates, share social media posts, send email newsletters, collect photos, and develop materials. They greet visitors, manage office equipment and supplies, coordinate staff scheduling and meetings, organize tours, support volunteerism, and accomplish other important administrative tasks as needed. 

Roles and Responsibilities: 

 Communications: 

  • Coordinate with staff to collect impactful stories, stats, and updates.
  • Work with the development team to develop content for social media and stories page.
  • Frequently post content to social media including Instagram, Facebook, and LinkedIn.
  • Respond to messages and inquiries that come in through social media and website.
  • Respond to general volunteer inquiries, support Intervale Center staff with SignUpGenius, and support submission of hours and calls for volunteers with City Market. Provide other volunteer support as needed.
  • Maintain mailing list and put together monthly email newsletters and email fundraising appeals with development team.
  • Take, collect, and organize photos and videos.
  • Implement website updates as needed.
  • Produce events, fundraising, and program materials and signage.
  • Act as an important ambassador and public face of the organization.  
  • Handle tour inquiries and schedule tours of the Intervale Center.
  • Receive and coordinate press inquiries and distribute press releases.
  • Support development activities as needed including appeals, donor visits, and board engagement.  
  • Participate in organizational strategic planning and long-term development, communications, and events planning. 

 

Administration & Events: 

  • Staff the front office, manage a welcoming and inclusive environment, greet visitors, and provide information. Keep the front room, kitchen, and other public spaces, including the Hayloft and online spaces, engaging, clean, and professional for staff and visitors.
  • Manage shared calendars and other calendars as needed. Collaborate with Administrative and Events Manager and Directors to set staff meeting agendas, schedule speakers, and support staff gatherings and retreats.  
  • Collect and coordinate incoming and outgoing mail and process checks alongside Administrative and Events Manager and Development Manager.
  • Manage office and volunteer supplies including ordering and coordinating with IC staff on their supply needs.    
  • With support from Events & Admin Manager, assist staff technological needs, such as computer, telephone, software, etc. and coordinate services with IT and other external consultants.    
  • Work with Events & Admin Manager to create and support opportunities for staff celebrations, including birthdays, work anniversaries, departures, and meeting or exceeding programmatic and organizational goals.
  • Implement a highly professional and efficient hiring process with support from Events & Admin Manager. This includes posting open job descriptions, receiving application packets, acknowledging receipt of applications, compiling and distributing applications, and notifying all applicants of their status.  
  • Assist the Events & Admin Manager with event implementation and staffing as needed. 

 

Minimum Qualifications:

  • One to two years of experience working in communications, administration and/or executive assistance, or equivalent.
  • Excellent verbal and written communication, customer relations, and computer skills. Competence with Microsoft 365 platform and programs and Zoom.  
  • Experience in professional social media implementation including Instagram, Facebook, and LinkedIn. Experience developing content a plus.
  • Experience in Squarespace or equivalent.
  • Experience in Mailchimp or equivalent.
  • Strong time management skills and excellent attention to detail. Ability to prioritize tasks appropriately.
  • Self-motivated, conscientious, and proactive in anticipating needs.
  • Ability to work in a busy environment with noise and interruptions.
  • Ability to lift and carry 35 pounds and use stairs.
  • A passion for community food systems and a desire to grow into a long-term role.
  • Occasional weekend and/or evening hours may be required. This is an in-person position.

Compensation and Benefits

Status: Full-time (40 hours per week); Hourly; Non-exempt; Permanent; Year-round 

Compensation Range: $23.00 - $26.00 per hour
